Terms of use

Document version: 2026-05-19. The Fascikle application is used for digital archiving of documents within organisations. By using the service, the user confirms they are an adult or are authorised to represent the legal entity they act for.

The cloud service at fascikle.com is provided on behalf of customer organisations by GraMix d.o.o. (hosting and support operator). Document archive data is processed within the organisation you use; that organisation is responsible for document content. Operator details may be updated with a new version of these terms.

Account and access

The user is responsible for protecting credentials (password, device). Sharing an account with third parties is not allowed unless organisation rules explicitly permit it.

Personal data

By using the service you accept processing described in the privacy policy. On registration we record the terms and privacy version in effect at that time.

Content and lawfulness

The user and organisation are responsible for the lawfulness of stored document content (in line with law, contracts, and internal policies). The hosting operator does not perform legal review of content under the default model.

Backups

The cloud service operator provides automatic backups of the production installation (database and archive file storage) at least once every 24 hours, stored at a separate external location (infrastructure separate from the primary application server). Copies are retained for a limited number of days before rotation, per the operator's operational policy. Restore and extra copies for special regulatory needs are not part of the standard model unless otherwise agreed.

Plans, limits, and trial period

The cloud service is offered in plans with limits (organisation members, document count, file storage, etc.). Current plans and limits are published on Pricing and plans.

When registering a new organisation, the user chooses a plan. The selected plan may include a promotional trial of 3 months without charge, without requiring payment details at registration, where this is clearly shown and accepted at sign-up. The trial is not free service forever — after it ends, published or agreed pricing and terms apply, with advance notice where applicable.

Plan limits apply during the trial as well. The operator may restrict or suspend the service on limit overrun or misuse. Members joining an existing organisation via invitation inherit that organisation's plan.

Availability and changes

The service is provided “as is”. Technical changes, maintenance, or limits may be introduced with reasonable notice where possible. Changes to these terms may require renewed acceptance on next registration or sign-in if we introduce that technically.

Suspension

Misuse (e.g. security attacks, spam, breaking the law) may lead to account suspension or deletion in line with incident documentation.
