Digital binders and DMS — what Fascikle offers

Fascikle is a regional cloud archive for companies and teams. This page describes features before sign-in; detailed help is inside the app after login.

What are digital binders in Fascikle?

Fascikle is a web archive (DMS) for teams and companies: contracts, invoices, scans and PDFs in one place, organised in digital binders by project, client or department — with search and access control.

It is not a full ERP replacement or mandatory qualified e-signature (QES) — the focus is storing, finding and sharing documents securely in the cloud.

OCR document search

After upload, the system can extract text from PDFs and images (OCR) and store it in the archive. Search works on document titles and scan content — useful for invoices, contracts and phone photos.

  • PDFs and images (JPG, PNG, iPhone/Android scans).
  • Background processing — no need to wait on screen.
  • Folder rules can suggest a binder from text (locally, no third-party upload).

Multi-tenant: organisation and team

Every document belongs to one organisation (tenant). Administrators add members; roles control who sees binders and files.

  • Sign-up creates a new organisation — you become administrator.
  • An invitation adds you to an existing team (same email as on the invite).
  • Multiple organisations under one account (e.g. an agency with several clients).

  • Binder tree and filters — documents do not sink into random folders.
  • Sharing a single file by link or email (no account required for recipients).
  • Simple e-signature on screen — link to signer, consent record in the archive (not QES).
  • Audit log — who uploaded, changed or shared.
  • Fascikle Scan — mobile shortcut to shoot and upload to the archive.
  • Backups — the cloud operator provides automatic backups of the database and archive files at least once every 24 hours at a separate external location (see terms of use).
